Avidbots Email Signature

Email. It’s become such a commonplace part of our lives, we often overlook its ability to foster a meaningful and cohesive brand experience. Without a doubt, email marketing campaigns are critical brand torchbearers. However, it’s the humble email signature that, when used correctly and consistently, possesses greater potential to build brand equity.

To get started with your Avidbots email signature, carefully follow the instructions below.

1. Click the appropriate link below. A new web page will open up, revealing a template email signature. Simply select all and copy. Then, return to this page.

2. Note the following: Under the hood, every Avidbots employee uses a Google (“Gmail”) account. However, this doesn’t necessarily mean you use Gmail in your web browser to read, write, and send emails. Many of you use an email client such as Outlook or Apple Mail. This distinction (between your email service provider and your preferred email app) is important.

3. Also note the following: These instructions apply only to desktop email applications, not mobile email applications, which – for technical reasons – are not included here.

4. Follow the remaining steps based on your preferred email app.

I use Gmail in my web browser

  1. Log in to your Gmail account, then click the gear / cog icon in the top right corner.
  2. Select Settings from the drop down menu.
  3. Scroll down until you reach the email signature editor, then paste your new email signature there.
  4. Edit the information to reflect your name and contact information.
  5. Scroll to the bottom of the page and click ’Save Changes’.

I use Microsoft Outlook

  1. Log in to your Outlook account and select the Home Tab > New Email.
  2. Click the Message tab.
  3. In the ‘Include group’ section, select ‘Signature > Signatures’.
  4. In the ‘Choose Default Signature’ section, be sure to select (from the email account dropdown) the account you would like to associate with your new signature.
  5. In the ‘Select Signature to Edit’ section, click the ‘New’ button and name your signature.
  6. In the ‘Edit Signature’ section, paste in your signature.
  7. Edit the information to reflect your name and contact information.
  8. Select ‘OK’.

I use Apple Mail

Apple Mail can be a bit tricky when it comes to email signatures. This solution requires steps in both Gmail and Apple Mail. Please follow the instructions carefully:

  1. Log in to your Gmail account, then click the gear / cog icon in the top right corner.
  2. Select Settings from the drop down menu.
  3. Scroll down until you reach the email signature editor, then paste your new email signature there.
  4. Edit the template text so it bears your name and info.
  5. When ready, scroll to the bottom of the page and click ’Save Changes’.
  6. Compose a new email addressed to your own Avidbots email address. You should see your new signature appear in the email. Send the email to yourself.
  7. Open the Apple Mail application and open the email you just sent yourself. Select all. Copy.
  8. Click ‘Mail’ (in the menubar at the top left corner of your screen) and select ‘Preferences’.
  9. Navigate to the ‘Signatures’ tab and click the + button at the bottom of the middle column. Then enter a name for your signature.
  10. Uncheck “Always match my default font”. (This is important!)
  11. Select and delete everything in the right-hand column’s text field.
  12. Paste what you just copied into the field. Note that the pasted signature might look strange at this point. Ignore this.
  13. Edit the information to reflect your name and contact information.
  14. In the left-hand column, select your Avidbots email account so it’s highlighted.
  15. Locate the dropdown menu (near the bottom of the pop-up window) and select your recently-created email signature by name.
  16. Close the pop-up window to save.
  17. Compose a new email to see if your new email signature is functioning correctly.

 

I use an email client not listed here

  1. Most email applications have a “signatures” section somewhere in their settings. Locate and open this.
  2. Look for the text field where you can paste-in your email signatures.
  3. Paste your new email signature in the field.
  4. Edit the name and contact info, then save or click ‘OK’.
  5. Your email app may expect you to assign a default signature for your Avidbots account. If this is the case, be sure to select your new signature. Then, save and close.
  6. Compose a new email to see if your new email signature is functioning correctly.

Why doesn’t my email signature look as expected?

If your signature doesn’t look as expected, here are some solutions to try:

  1. Email signatures, by their very nature, render differently on different devices and email clients.
  2. Try using a different web browser to create your signature. Some web browsers don’t copy the formatting along with the text and this changes with each update of the browsers.
  3. Perform a web search for “email signature in [application]” and determine the best way to get your email signature into the application and associated with your Avidbots email account.
